1. Scope of Services
We offer fully custom, semi-custom, and fixed-date curated travel services, as well as downloadable digital products. Our planning includes:

On-request concierge suggestions or cultural guidance
Final deliverables and inclusions may vary depending on the chosen package.
2. Booking & Payment
To begin the planning process, a non-refundable deposit is required. This secures your place in our limited booking calendar and covers the early phases of research and coordination. Full payment may be required closer to the trip date, as communicated during the planning process.
All fees must be paid on time. Failure to do so may result in cancellation of services without refund.
3. Digital Products
All digital downloads (including sample itineraries, guides, or curated inspiration decks) are non-refundable once delivered. Sharing, redistributing, or republishing these materials without written permission is strictly prohibited.
4. Cancellations & Refunds
Please refer to our full Refund & Cancellation Policy. Key highlights include:

Consultation fees, deposits, and planning time are non-refundable

Partial refunds may be considered for cancellations made more than 60 days before the trip

No refunds will be issued after itinerary delivery or once bookings are confirmed

No rescheduling or postponements are permitted
5. Travel Responsibility
The Meetings Tree acts as a consultant and coordinator. While we may make bookings on your behalf, all travel involves inherent risks, and final responsibility lies with the traveller. We are not liable for delays, disruptions, accidents, losses, or changes caused by third-party providers, weather, health emergencies, or force majeure events.
6. Third-Party Providers
We work with a network of trusted vendors (hotels, guides, transport, etc.) but do not own or control them. Their terms, availability, and refund policies apply independently. We will communicate these clearly wherever possible.
7. Traveller Conduct
We reserve the right to refuse service or end collaboration with any client who engages in discriminatory, abusive, or disrespectful behaviour toward our team or our partners.
8. Force Majeure
In the case of circumstances beyond our control (natural disasters, pandemics, political unrest), we will do our best to secure credit toward future travel where possible. No cash refunds will be issued in such cases.
9. Intellectual Property
All content created by The Meetings Tree — including digital itineraries, maps, design elements, and copy — remains the intellectual property of the brand. It may not be reproduced, resold, or used for commercial purposes without prior consent.
10. Governing Law
These terms are governed by the laws of France and Mexico, depending on the point of sale and residency of the client. Any disputes shall be resolved amicably where possible, or through appropriate legal channels.
